If you have any questions about this policy or how we handle your personal data, contact us using the details above.
2. What this policy covers
This policy explains how we collect and use personal data when you:
-
visit www.socialforge.uk;
-
enquire about or use our services as a client or prospective client;
-
respond to a marketing campaign, advert, funnel, form, or automated message that we run on behalf of one of our clients (for example, an estate agent valuation enquiry or sign up to a webinar); or
-
work with us as a supplier or contractor.
Important — campaign and lead enquiries. A large part of what we do is run marketing campaigns for our clients. If you submitted your details through one of our campaigns, adverts or funnels, please see Section 6 below. In most cases, the relevant client, not Social Forge, becomes the organisation responsible for contacting you, and they have their own privacy policy that will also apply.
3. The personal data we collect
Depending on how you interact with us, we may collect:
-
Identity and contact data, name, email address, phone number, postcode or address.
-
Enquiry data, the information you give us in a form, funnel, message or call, such as details about a property, an enquiry, or your interest in a service.
-
Business and client data, for our clients and suppliers: contact details, company information, billing details, and the content of our communications.
-
Technical and usage data, IP address, device and browser information, and how you use our website, collected through cookies and similar technologies (see our Cookie Policy).
-
Marketing and communications data, your preferences in receiving marketing from us and your communication preferences.
-
We do not intentionally collect "special category" data (such as health, racial or religious information) or criminal offence data.
4. How we collect your data
-
Directly from you — when you fill in a form, submit a funnel, message us, email or call us, or sign up to a service.
-
Automatically — through cookies and similar technologies when you use our website.
-
From our clients — where a client provides us with contact data so we can deliver a service on their behalf.
5. Why we use your data and our lawful basis
We only use your personal data where the law allows. The lawful bases we rely on are:
What we use your data for
Lawful basis
Responding to your enquiry and providing our services
Contract, or legitimate interests (to respond to you)
Passing campaign/lead enquiries to the relevant client (see Section 6)
Consent (given at the point you submitted your details)
Managing our relationship with clients and suppliers
Contract / legitimate interests
Sending you marketing about our own services
Consent, or legitimate interests for existing business contacts
Improving and securing our website
Legitimate interests; consent for non-essential cookies
Meeting our legal and accounting obligations
Legal obligation
Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights, and you can ask us about this assessment at any time.
6. Campaign and lead enquiries — sharing with our clients
This section is important if you contacted us through a campaign, advert, funnel or automated message.
When you submit your details through a campaign we run for a client, you are giving consent for your details to be passed to that named client so they can contact you about your enquiry. At the point you submitted your details, the relevant client will have been identified to you.
Once we pass your details to that client:
-
the client becomes a data controller in its own right for your data and is responsible for how it contacts and communicates with you;
-
the client's own privacy policy will apply to its use of your data; and
-
We keep a record of the enquiry but do not use your details to market our own services to you unless you have separately agreed to that.
If you no longer wish to be contacted, you can tell either us or the client, and you have the right to object at any time (see Section 10).
7. Who else do we share your data with
We share personal data with:
-
Our service providers (processors) who help us run our business and campaigns under our instructions — for example, advertising platforms, marketing automation and messaging tools, scheduling tools, workflow automation, cloud storage and email providers, ai platforms with secure permissions and our editors and contractors. These providers act only on our instructions and are bound by written data protection terms.
-
Our professional advisers — accountants and legal advisers, where necessary.
-
Authorities or third parties — where required by law, or to protect our rights.
-
We do not sell your personal data.
8. International transfers
Some of the providers we use (for example, advertising and software platforms) may store or process data outside the UK, including in the United States. Where this happens, we make sure an appropriate safeguard is in place — such as the UK extension to the EU–US Data Privacy Framework, the International Data Transfer Agreement, or UK Addendum to the EU Standard Contractual Clauses — so that your data is protected to UK standards.
9. How long we keep your data
We keep personal data only for as long as we need it:
-
Campaign/lead enquiries: [e.g. up to 12 months] after submission, unless deleted sooner once passed to the client.
-
Client and supplier records: for the duration of our relationship and [e.g. 6 years] afterwards to meet legal and accounting requirements.
-
Marketing data: until you unsubscribe or ask us to stop.
-
Website/technical data: [e.g. up to 26 months], in line with our cookie settings.
When we no longer need your data, we securely delete or anonymise it.
10. Your rights
Under UK data protection law, you have the right to:
-
be informed about how we use your data;
-
request a copy of your data (a subject access request);
-
have inaccurate data corrected;
-
have your data erased in certain circumstances;
-
restrict or object to our processing, including objecting to direct marketing at any time;
-
data portability; and
-
withdraw consent at any time, where we rely on consent.
-
To exercise any of these rights, contact us at contact@socialforge.uk. We will respond within one month. There is normally no charge.
11. Cookies
Our website uses cookies and similar technologies. Non-essential cookies (such as advertising and certain analytics cookies) are only set with your consent. For full details, see our Cookie Policy.
12. Marketing
If you receive marketing emails or messages from us, you can opt out at any time using the unsubscribe link, by replying to ask us to stop, or by contacting us. We will not pass your details to other organisations for their own marketing unless you have specifically agreed to that.
13. How to complain
If you are unhappy with how we have handled your personal data, please contact us first at contact@socialforge.uk. We will acknowledge your complaint and aim to resolve it promptly.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection:
-
Website: ico.org.uk/make-a-complaint
-
Helpline: 0303 123 1113
We would, however, appreciate the chance to deal with your concerns before you approach the ICO.
14. Changes to this policy
We may update this policy from time to time. The current version is always available on our website, with the "last updated" date shown at the top.
